Review the fuel cost record before you trust the conclusion.

Build one current, matched record from final diesel transactions and actual operating miles covering the same completed dates and the same vehicle scope.

Core rule

Fuel cost and operating miles only belong together when the period and vehicle scope match.

Fuel Cost Record

Build the current cost record.

Use final diesel transactions dated inside one completed 7–60 day period. The completed record stays on this device for 14 days and is available to the optional Whole-Business Review only through its read-only Fuel contribution.

First date included in the completed record.
Use a completed period between 7 and 60 days.
Use final transaction totals after applied pump/card discounts. Include fuel tax; exclude DEF, food, parking, cash advances, and separately itemized card or funding fees.
Miles from the same period and included vehicle scope.
Use the gallons behind the entered diesel cost. Do not mix reefer or auxiliary fuel with tractor miles. Purchased gallons are not treated as consumed gallons, so this field does not calculate MPG.
Choose the record that supports the final diesel purchase cost entered for this period.
The scope must describe both the fuel amount and the miles. Do not combine a fleet fuel total with one truck’s miles.

Nothing is saved until you build a completed Fuel Cost Record.

      Evidence rules

What this record proves—and what it does not.

The record stays narrow on purpose. It preserves an actual completed-period cost fact without turning that fact into a verdict.

      Cost per operating mile
Final diesel purchase cost divided by actual operating miles from the same completed period and vehicle scope.
      Purchase cost per gallon
Final diesel purchase cost divided by matching purchased gallons only when those gallons are supplied. Otherwise the result remains Unknown.
      Not MPG
Purchased gallons are not assumed to be gallons consumed. Beginning and ending tank inventory can move fuel purchases between periods.
      Not a public benchmark
Weekly EIA averages belong on the Fuel Desk as market context. They are not substituted for this operation’s final pump/card transaction record.
      Freshness
Current use ends at the earlier of 14 days after the record is built or 14 days after the source period ended. Resuming a saved record never renews either clock.
      Matching Fuel Guides

Three Guides help explain what changed without rewriting the record.

The Fuel Cost Record stays factual. These Guides handle the questions that come after the record: which price was actually yours, whether a fuel-use jump is real, and whether idle-cost arithmetic supports an APU decision.

The Sign Says $3.79. Your Statement Says $3.57. Which Price Is Yours?

Separate posted, cash, app, card, and final transaction prices so the completed-period record uses the price the operation actually paid.

Fuel Use Jumped. Before You Blame the Truck, Prove the Number.

Check period, miles, purchases, tank timing, route changes, and operating conditions before a higher fuel number gets promoted into a mechanical diagnosis.

Idling Is Burning Money. Is an APU Actually Worth Buying?

Use transparent idle-hour, fuel-burn, fuel-price, equipment-cost, and maintenance assumptions before calling an APU cheaper or profitable.
